ABOUT THE ROLE

Reporting to the General Manager, the Retail Coordinator will find themselves in a creative role for an evolving shopping centre. The successful candidate will be responsible for leading office administration, captaining guest services and tenant coordination, and supporting a variety of business facets such as marketing, operations, and accounting.

To succeed in this role, the candidate must be an organized, team-oriented, attentive individual, with a talent for critical thinking and problem solving, who can thrive in an ever-changing, busy environment.

Primary Job Responsibilities

General Accountability

  • Bring innovation, creative thinking, and ideas to the Centre
  • Work closely and collaboratively with the property team, other SHAPE employees, external contractors, and agencies as required

     Office and Property Administration

  • Manage digital and physical filing and retention for documents such as: insurance, leases, purchase orders, reports, work orders, site plans, and service agreements
  • Administer and process work orders for the property for maintenance and security teams
  • Assist with processing invoices and purchase orders in a timely manner
  • Assist with updating maps and site plans for the property

     Marketing and Events

  • Assist with the overall execution of events designed to appeal to the Centre’s key target segments with a goal of driving traffic and tenant sales
  • Facilitate the creation of license agreements for events and organize relevant signatures and insurance
  • Assist with coordinating event components including but not limited to: décor, activations, giveaways, logistics, and promotion and working with the SHAPE team, partners, and contractors where needed
  • Some weekend and after-hours availability is required for event set up, and supporting and working at events where necessary
  • Monitor the Centre’s website and online presence to ensure up-to-date and accurate information is readily available, including updating where necessary

     Guest Services

  • Be the first point of contact for guests whether in person or over the phone
  • Manage the Centre’s lost and found, wheelchair rentals, and assist guests with other services such as wayfinding, parking, and other requests as needed

     Tenant Coordination

  • Build and maintain relationships with the Centre’s tenants
  • Be the first point of contact for tenants and triage where necessary
  • Organize tenant meetings throughout the year including gathering data and preparing the presentation decks, and organizing refreshments and other meetings
  • Regularly administer memos relaying information between the property management team and tenants
  • Support administration of the annual tenant survey including organizing data
  • Manage the monthly tenant newsletter including design and administration
  • Maintain tenant files (physical and digital) ensuring lease agreements, insurance, contact information, and other relevant information remains up to date and organized

     Tenant Relations

  • Build and maintain relationships with the Centre’s tenants
  • Support tenants with their own unique marketing efforts where necessary through the Centre’s marketing efforts/streams or their own
  • Engage and encourage retailers to participate in Centre events, activations, as well as promotional and advertising opportunities

Qualifications

Required Knowledge, Skills, and Abilities

  • Organization and experience with filing and retention
  • Critical thinker with strong analytical skills and attention to detail
  • Excellent written and verbal communication and presentation skills
  • Positive and energetic attitude; team player
  • Commitment to the elevated guest experience
  • Strong project and time management skills
  • Ability to handle significant variation in workload across multiple facets simultaneously
  • Proficient in Microsoft Office (Outlook, PowerPoint, Word, Excel)
  • Proficiency in Adobe Acrobat (InDesign and Illustrator experience is an asset)
  • Flexibility during event days (some evenings & weekends)

Required Knowledge, Skills, and Abilities

  • 2+ years of relevant experience
  • Experience with marketing including social media and event planning and execution
  • Post-secondary education in business administration, office administration, property management or equivalent combination of education and relevant work experience
  • Experience in customer service or guest experience
  • Experience in accounting with a particular emphasis on processing invoices and purchase orders
  • Experience with Yardi and Angus (or similar accounting and property management programs) is an asset

Salary range: $52,000-62,000/year
