ABOUT THE ROLE
As the Retail and Operations Coordinator, you will play a crucial role in ensuring the smooth functioning of our team while collaborating with various team members to maintain high standards of operational efficiency and tenant satisfaction. This position is full-time onsite position.
Primary Job Responsibilities
Administrative Assistance
- Reception and front desk duties
- General inquiries (telephone and front desk reception)
- Mailroom and courier management
- Generate and track purchase orders
- Office supplies ordering, inventory and printer maintenance
- Minute taking at bi-weekly TAB team meetings
- Update and circulate weekly team work schedule
- Print and laminate documents as required
Tenant Assistance
- Tenant sales tracking, updating, and inputting (Excel spreadsheets/Yardi)
- Tenant insurance renewal tracking and filing
- Prepare and distribute property and tenant memos
- Update and maintain tenant contact Information
- Prepare short term tenant and storage agreement
Operations Assistance
- Update and maintain tenant contractor insurance/WCB forms
- Tenant communication memos including Disruption Notices
- Assist with contractor/tenant site access
- Rick-Check data and Green-Check data tracking
- Co-Chair Health + Safety meetings
- Prepare miscellaneous agreements as assigned
- Review files, locate documents, track files assigned
Qualifications
Required Knowledge, Skills, and Abilities
- Excellent communication and document presentation skills
- Excellent interpersonal skills and a positive attitude
- Aptitude to embrace change and welcome innovative approaches in an exceedingly evolving, fast paced environment
- Cheerful outlook and a demonstrated ability to be initiative-taking, resourceful, approachable, focused and genuinely care at all times
- Excellent follow-through and organizational skills
- Able to multi-task and work efficiently in a fast-paced environment
- Proficient Microsoft Word + Excel experience
- Experience with Yardi and Angus software an asset
Required Training and Experience
- 2+ years of industry related experience an asset
Salary Range: $45,000 – $47,500 / year (plus bonus and benefits)
