ABOUT THE ROLE
SHAPE is seeking an energetic, enthusiastic Operation Manager for its Deerfoot City, and Westhills Towne Centre properties in Alberta. If you thrive on fresh ideas and shy away from the conventional, join our young and dynamic team to be an architect of the shopping centre’s engagement strategies. The Operations Manager is scheduled Monday to Friday during office hours and is on call 24 hours a day to respond and to manage after-hour situations that may occur. In addition to the hours shown in the above work schedule, it is necessary to periodically work alternate shifts including nights and weekends when required.
Primary Job Responsibilities
Building Operations
- Supervise maintenance programs of all building and site equipment (incl. fire, life, safety and emergency systems, HVAC, electrical, security and video surveillance systems and ground-keeping equipment) and programs to ensure the property adheres to the existing company policies & procedures
- Implement and ensure the team is adhering to Angus AnyWhere® maintenance systems
- Schedule and implement all required HVAC maintenance, repairs, filter changes and other repairs as needed
- Oversee the development of both third-party custodial and security departments with respective managers
- Manage waste management systems
- Perform daily inspection of all areas of the property, not limited to building structure, parking lot, stairwells, common area reports any areas of concern to the General Manager
- Assist in all marketing setups, not limited to holiday décor, fashion shows, outdoor seating
- Utilize and Maintain Purchase order system to approve contractors and complete work
- Other duties assigned from General Manager as needed
Tenant Services
- Manage all tenant repairs and service requests to ensure that effective long-term tenant relationships are built, and a consistent high level of service is always provided to the tenants
Environmental, Health and Safety
- Oversee adherence to the company’s environmental and Health & Safety policies
- Manage investigations of environmental and H&S incidents report to all parties on request
- Supervise the implementation of effective energy management programs
- Review daily Security Reports and follow up on incidents where needed
- Facilitate monthly OH&S meetings with Security, Maintenance, Custodial and Administration teams
- Utilize Risk Check/Green Check to control risk management in areas of environment and Health and Safety
Tenant Coordination
- Work in partnership with the construction and development teams for Tenant Improvement/Coordination
- Familiarize self with building guidelines and base building restrictions
- Comment on all plans submitted by tenants including but not limited to building restrictions, signage, design, and critical dates with follow up as required
- Point person for properties Tenant Coordination, including coordinating all trades ad access and mechanical shutdowns as needed
- Communicate with tenants any areas in writing where their business could be affected by scheduled work
- Provide all Tenant Coordination documentation to Head Office in a timely manner
Contract Tendering and Payables
- Initiate and support property management in Requests for Proposal for third-party service contracts
- Process Purchase Orders and payments against third-party invoices pertaining to building maintenance
Budgeting and Reforecasting
- Preparation, control and accountability for annual operations budget and capital budget. This includes providing a monthly variance report to the General Manager
- Coordinate and Supervise all contracts and contract personnel, including periodic reviews of all service contracts
Qualifications
Required Knowledge, Skills, and Abilities
- Fully competent in all related legislation and Occupational Health and Safety
- Capable of reading blueprints and construction drawings, shop drawings and maintenance manuals
- Good working knowledge of standard windows office programs, plus a good working knowledge of industry-standard building control automation systems
- Excellent communicator both verbally and in writing with the ability to multi-task
- Must be able to provide a clear criminal record
Required Training and Experience
- Minimum of 5 years of supervisory experience with 5 years of related work experience in a similar environment with comparable building systems
- Power Engineer 5th Class Minimum, a 4th Class is preferred
- Experience with management of computerized preventative maintenance programs
- Experience negotiating service contracts and supervision of capital programs
- Experience in both retail and residential properties an asset
Salary Range: $78,000-82,000/year
